What businesses pay per user

Across the panel, fully managed IT (where the provider runs the entire IT function) clustered tightly around a 145 USD per-user, per-month average. Co-managed IT, where the MSP augments an in-house team, came in lower at 85 USD because the client keeps part of the workload. The spread below shows the typical band by service model.

How MSPs price: per user is winning

The pricing model itself is consolidating. 63% of surveyed providers now price primarily per user, 24% per device, and 13% use tiered or flat-fee arrangements. Buyers told us per-user pricing is easier to forecast as headcount changes, which is the main reason it keeps gaining share.

What drives a quote up or down

Three factors moved quotes the most in the data: security and compliance scope (regulated industries paid a premium), 24/7 versus business-hours coverage, and the age of the environment being supported. Onboarding fees were near-universal, averaging 1,200 USD for a 25-seat business, and were often waived on multi-year agreements.

How to use this benchmark

Treat these numbers as a sanity check, not a ceiling. A quote well below the band usually means a thinner scope (often security or backup is excluded), and a quote above it should come with a clear reason.
